IAPWS 2026 – Booking Terms and Conditions

These terms and conditions apply to all attendee ticket bookings for this event. The booking form constitutes a legally binding contract between BIAPWS (the IAPWS 2026 organiser) and the person booking and/or attending the event. Our Terms and Conditions take precedence over those of any other organisation in every case. In completing the registration, you agree to the IAPWS 2026 booking Terms and Conditions set out below and the BIAPWS privacy policy, available here.

Please note the email address you submit during the registration process (Ticket Tailor) is the email address that we shall use to contact you about the event. Please make sure it is correct.

  • BOOKING AND PAYMENT:
    1. All payments must be in pounds sterling (GBP).
    2. Places at the event are not guaranteed until payment has been received where payment is required.
    3. Where the attendee has selected the wrong registration rate, the organisers reserve the right to cancel/amend the booking following communication / attempted communication to the attendee.
    4. The organisers reserve the right to refuse access for incorrect payment of registration fees.
    5. All 5-day tickets include access to the social events (Sunday Welcome Drinks and Wednesday Gala Dinner). However, attendance at these events does require booking. Attendees who have not booked may be refused entry.
    6. The Technical Tour is only open to 5-day pass holders and does have a limited attendance, therefore access to this is not guaranteed. Application for a tour pass must be carried out during the booking of event tickets. If confirmed, further security information may be requested by the organisers.
    7. All Wednesday Symposium tickets include access to the Wednesday Gala Dinner. However, attendance at this event does require booking. Attendees who have not booked may be refused entry.
  • CANCELLATION BY THE ATTENDEE:
    1. All cancellations must be made in writing and will be acknowledged in writing.
    2. Cancellations made on or before 28 May 2026 will receive a full refund minus a £20 administration fee.
    3. Cancellations made between 29 May and 15 June 2026 will receive a 50% refund.
    4. Cancellations made after 15 June 2026 will not be eligible for a refund.
    5. Name replacements can be made at any time before the start of the event.
    6. Cancellations may be processed following the live event.
  • CANCELLATION / AMENDMENT BY THE ORGANISERS
    1. We aim to provide the event as described but we reserve the right to cancel/amend the event as required. Where possible, we shall provide you with reasonable notice, however it is ultimately your responsibility to ascertain if the event has been cancelled/amended.
    2. Whilst the programme is correct at the time of publishing, the organisers reserve the right to change details of the event without notice. All best endeavours will be made to present the programme as publicised, however, alterations may occasionally be necessary due to circumstances beyond our control.
    3. In the case that we must cancel the event/part of, we will offer full (or partial if an alternative is available and agreed) refund. Please allow 60 days for your refund to be processed. We will not be liable to you for any expenses, losses or costs that you incur in relation to the event.
  • FORCE MAJEURE
    1. We will not be liable to you for any loss or damage caused to or suffered by you as a direct or indirect result of a failure by us to perform any of our obligations in relation to an event to the extent that the failure is caused by events, circumstances or causes beyond our control.
  • ACCESS TO THE EVENT
    1. You will need to visit the registration desk to collect your event pass “badge”, lanyard and any associated tickets. You will need to wear your event pass “badge” at all times within the event venue.
    2. Tickets are non-transferable however we do accept name changes if made before the start of the event, you will need to contact iapws2026@biapws.org to action this.
  • LIMITATION OF LIABILITY
    1. Where circumstances force BIAPWS to cancel the event or any part thereof, the liability of the BIAPWS shall be limited to a refund of any fees paid.
    2. Views expressed by speakers are their own. BIAPWS disclaims any liability for any advice given, or views expressed, by any speaker at the event or in any documentation provided to attendees.
  • DATA PROTECTION
    1. Personal data collected by the organisers during the registration process is used to fulfil attendance at IAPWS 2026 and to notify attendees of event-related activities. The registration system used to collect and maintain attendee details is powered by Ticket Tailor.
  • PHOTOGRAPHY AND FILMING
    1. The organisers may take screenshot images, videos and photographs during IAPWS 2026. By participating in IAPWS 2026 and/or other related activities, you grant the organiser the right to use these images/film for purposes including, but not limited to, posting or publishing news or promotional material, whether in print, electronic or other media. All images become the property of BIAPWS.
    2. Photography, filming/recording (video or audio) by attendees within sessions is not permitted without the organisers and speakers permission.
  • GOVERNANCE
    1. Participants and BIAPWS agree that these terms and conditions shall be governed by and construed in accordance with the laws of the England and Wales. Participants and IAPWS further agree that all disputes arising out of or in connection with this agreement shall be submitted to the exclusive jurisdiction of the English Courts.
